Why an 18-Month Runway Matters

Every year at Kadamb Overseas, we receive panicked WhatsApp messages from Ahmedabad, Mumbai, Pune, Delhi, Bangalore, Chennai, Hyderabad, Kolkata, and Jaipur parents in March-April. The conversation goes: “My son wants to apply for September intake. Is it too late?”

For September 2027, if you are reading this in May 2026, you have 16 months — plenty of time. If you read this in March 2027, you have 6 months — technically possible but you will miss Tier-1 unis. If you read this in July 2027, the answer is honest: target January 2028 winter intake or September 2028 instead.

In 12+ years guiding Indian students to Europe, Saumitra Rajput has built a milestone-by-milestone calendar that protects students against the three biggest timeline killers: missed scholarship deadlines (DAAD closes mid-October every year), Apostille queue (4-6 weeks at MEA), and Schengen visa appointment scarcity (June-July booked solid by April).

This post is that calendar.

If you want the full financial picture to pair with the timeline, read our MS Germany vs IIM MBA ROI analysis, the 20 hidden costs of European study, and our education loan EMI calculator for 8 European destinations.

Months 18-15 (Jul-Sep 2025): Country Shortlisting + University Research

Week 1-4: Define your career goal in one sentence

“I want to do MS Computer Science in Europe and work as a Software Engineer for 5 years before deciding on PR vs return to India” — this kind of clarity drives every later decision.

Week 5-8: Filter countries

Use our Big 8 country hub to filter on:

  • English-taught Master programs available in your field
  • Tuition cost (€0 in Germany public unis vs €15K Netherlands)
  • Post-study work visa duration (18-month Job Search visa in Germany, 12-month APS in France, 12-month “Zoekjaar” in Netherlands)
  • Indian student community presence (Berlin > Vienna > Brussels)
  • Climate tolerance (winter -10°C in Munich vs +5°C in Lisbon)

Most Indian students shortlist 2-3 countries in this phase. Our Germany vs France vs Italy vs Spain vs Poland decision matrix walks through the trade-offs.

Week 9-12: University long-list

For each shortlisted country, build a list of 15-20 target universities. Sources: QS World University Rankings, Times Higher Education Rankings, DAAD International Programmes database, Campus France, Study in Holland.

Save this in a Google Sheet with columns: University | Program name | Tuition/yr | Living cost city | Application deadline | TOEFL/IELTS min | GRE required? | Documents needed.

For specific countries, our hubs cover the strongest programs: Germany, Switzerland, France, Italy, Netherlands, Belgium, Austria, Poland.

Months 14-12 (Oct-Dec 2025): IELTS / TOEFL / GRE Preparation

IELTS / TOEFL booking strategy

Book your IELTS or TOEFL exam for late November or early December 2025. This gives you:

  • 8 weeks of focused prep
  • Results in 13 days (IELTS) or 6-10 days (TOEFL)
  • Buffer to retake in early February 2026 if score is below target

Target scores by country:

  • Germany: IELTS 6.5 overall (6.0 each band) or TOEFL iBT 90
  • Switzerland (ETH/EPFL): IELTS 7.0 (6.5 each) or TOEFL 100
  • France (Grandes Écoles): IELTS 6.5-7.0 or TOEFL 90-100
  • Italy (PoliMi, Bocconi): IELTS 6.5 or TOEFL 90
  • Netherlands (TU Delft, Eindhoven): IELTS 6.5 (6.0 each)
  • Belgium (KU Leuven): IELTS 6.5 or TOEFL 80
  • Austria (TU Wien): IELTS 6.5 or TOEFL 85
  • Poland: IELTS 6.0 or TOEFL 79

GRE decision

GRE is optional or not required at most German, Italian, French, Belgian, Polish public universities. GRE is recommended/required at:

  • ETH Zurich (some MS programs)
  • TU Munich (CS Master is competitive — GRE 320+ helpful)
  • Bocconi MIM
  • Some Imperial College London programs (UK)

If targeting top-5 Germany CS Master OR top US PhD pathway later, take GRE in November 2025.

TOEFL/IELTS official score sending

Send scores directly to universities you have shortlisted. ETS and IDP charge $20-25 per institution. Budget ₹15-25K for score sending across 8-12 universities.

Months 11-10 (Jan-Feb 2026): Document Apostille + LORs

Document checklist (start collecting Jan 2026)

1. Original BTech/BE degree certificate + 5 photocopies

2. All semester mark sheets (8 mark sheets for 4-year program) + 5 sets

3. Consolidated mark sheet (single transcript covering all semesters)

4. Migration certificate from your university

5. Bonafide certificate / Course completion certificate

6. Birth certificate (apostille required for visa later)

7. Class 10 + Class 12 board mark sheets

8. Aadhaar + PAN + passport copy

9. Police Clearance Certificate (for visa later)

Apostille process (start Jan 2026 — takes 6-8 weeks end to end)

For a detailed walkthrough, see our apostille Indian transcripts for Europe guide.

1. Notarisation at local notary: 1 week

2. State HRD/Sub-Divisional Magistrate attestation: 2 weeks

3. MEA New Delhi attestation: 1 week

4. Apostille stamp at MEA: 2 days

5. Sworn translation to German/French/Italian (in destination country): 2 weeks

Use agencies like Superb Enterprises, BLS, VFS Global, or Apostille India for ₹40-50K end-to-end service. Self-doing saves ₹20K but takes 6+ extra weeks.

Letters of Recommendation (LORs)

Approach 3 academic professors (your BTech department head, project guide, and one subject professor) by end of January 2026. Politely request academic LORs by end of February 2026.

What to provide them:

  • Your full CV
  • Your draft SOP
  • Specific universities/programs you are applying to
  • LOR template (they will customise) — share our Kadamb LOR template kit

If working professional, add 1 manager LOR. Total 3-4 LORs needed.

CGPA to ECTS / German GPA conversion

Most European unis want CGPA on a 4.0 or German 1.0-5.0 scale. See our CGPA to ECTS conversion guide. Some unis demand official transcripts on their letterhead with ECTS grading — your Indian uni may charge ₹500-1000 for this conversion document.

Months 9-7 (Mar-May 2026): Early Scholarship Applications

DAAD Scholarships (Deutsche Akademische Austauschdienst)

  • DAAD EPOS Master scholarship: deadline mid-October 2026 for September 2027 intake

Months 6-4 (Jun-Aug 2026): SOP + Letter of Motivation

Statement of Purpose drafting

This is the most labour-intensive part of the application. Allow 8-10 weeks for 3-5 strong SOPs (one per major university, lightly customised per program).

A typical SOP structure:

1. Opening hook — defining moment that pulled you to your field (1 paragraph)

2. Academic foundation — BTech/BE achievements with concrete numbers (2 paragraphs)

3. Practical experience — internships, projects, publications, hackathons (2 paragraphs)

4. Why this specific program — name the professors you want to work with, specific labs (1 paragraph)

5. Why this university + city — research strengths, alumni network (1 paragraph)

6. Career goals 5-year — specific role at specific industry (1 paragraph)

7. Closing — concise restatement of fit (1 paragraph)

Word count: 800-1,200 for German unis, 600-900 for French Grandes Écoles, 500-800 for Dutch unis. See our detailed SOP for German university guide.

Letter of Motivation (for Erasmus Mundus etc.)

Different from SOP — more personal, “why I want to live in Europe” framing alongside academic intent. See our Letter of Motivation Erasmus Mundus template.

CV / Resume Europass

European unis prefer Europass format CV (downloadable from europa.eu). Single column, traditional, 1-2 pages. Includes:

  • Personal info (no photo for Germany/Netherlands; photo OK for France/Italy/Spain)
  • Education in reverse chronological
  • Work experience (including academic projects)
  • Skills (technical + languages)
  • Publications + hackathon wins + leadership

Months 3-1 in Year 1 (Oct-Dec 2026): Tier-1 University Applications

Germany — uni-assist + direct portals

Most German universities use uni-assist centralised system (free for first 5-7 applications based on uni). Deadlines:

  • Winter semester intake (Oct 2027): 15 July 2026 for some unis, 31 May 2026 for international students at some
  • For Sep 2027 (winter semester start): most deadlines are 15 January 2027 OR 15 July 2026 depending on uni

Wait — for September 2027 intake specifically, the WS 2027-28 deadlines apply. Different unis have different deadlines:

  • TU Munich CS: 31 May 2027 (early) or 31 Aug 2027 (late)
  • RWTH Aachen Informatics: 1 March 2027
  • TU Berlin Computer Science: 30 April 2027
  • KIT Karlsruhe: 30 June 2027
  • TU Darmstadt: 15 July 2027

Critical insight: For Germany, apply between November 2026 and February 2027 to comfortably meet the strict 1 March – 15 July windows. Build 3-week buffer for uni-assist VPD (preliminary documentation review).

France — Campus France “Études en France” portal

Mandatory for non-EU students applying to French universities. Deadlines:

  • Bachelor + Master in public unis: 15 December 2026 – 1 March 2027 (varies by uni, most are 15 March 2027 hard deadline)
  • Grandes Écoles (HEC, ESSEC, ESCP, EM Lyon): rolling admissions starting October 2026, final round May 2027

Italy — Universitaly portal + direct university

Italian application calendar:

  • Pre-enrolment via Universitaly: opens January 2027, deadline 20-30 June 2027 typically
  • Some unis (Bocconi, PoliMi, Sapienza) have separate platforms with rolling rounds Oct 2026 – May 2027

Netherlands — Studielink portal

  • Studielink applications open 1 October 2026 for September 2027 intake
  • Deadline for non-EU students: 1 May 2027 (universities of research) or 1 May 2027 (TU Delft has 1 Feb 2027 deadline for some Master programs)

Switzerland — direct university applications

  • ETH Zurich Master deadline: 15 December 2026 for September 2027 intake (very strict!)
  • EPFL Lausanne Master deadline: 15 December 2026 for autumn 2027
  • St Gallen MBA: rolling

This is why we say start SOPs in June 2026 — Switzerland applications close by mid-December.

Belgium — direct + Mobi-Vlaanderen

  • KU Leuven: 1 March 2027 for non-EU (some courses 1 Feb)
  • UCL/UGent: 1 April 2027

Austria — direct university + Studienberechtigung

  • TU Wien: 5 September 2027 (yes, after intake start — very late deadline!) but apply by 1 March 2027 for guaranteed visa time
  • Vienna University: 5 September 2027

Poland — direct university

  • University of Warsaw: 15 July 2027
  • AGH Krakow: 15 August 2027

Months 1-3 in Year 2 (Jan-Mar 2027): Backup Applications + Offers

Tier-2 + safety school applications

If your Tier-1 applications (TU Munich, ETH, HEC) are submitted by January, use January-March 2027 to apply to:

  • 3-4 Tier-2 universities (RWTH Aachen, TU Berlin, KU Leuven, Politecnico Milano)
  • 2-3 safety universities (KIT, University of Stuttgart, JKU Linz)

Total target: 8-12 university applications. Aim for at least 4-5 final offers.

First acceptances start arriving

  • ETH Zurich: decisions in March 2027
  • TU Munich: April-May 2027
  • Erasmus Mundus EMJM: March-April 2027
  • French Grandes Écoles: rolling, latest May 2027

When first offers arrive, do not accept immediately. Wait until at least 70% of applications return results (typically by mid-May).

Compare offers using the Kadamb decision matrix

We share a 12-criteria scoring sheet with Kadamb students that scores each offer on: ranking, tuition, living cost, post-study work visa, scholarship offered, Indian alumni community, faculty in your sub-field, weather, language requirement, ease of switching jobs in EU, family visit access, your gut feel.

Months 4-6 (Apr-Jun 2027): Acceptance + Visa Documentation

Accept your preferred offer (April-May 2027)

Pay enrolment deposit (usually €200-€2,000 depending on uni, sometimes adjusted against tuition). Receive official “Letter of Admission” — this is the most important document for visa.

Reject other offers politely. Some universities (Switzerland) have a 2-week deadline to accept; others (Germany) allow until July-August.

Sperrkonto opening (Germany only) — April 2027

Open blocked account at Coracle, Expatrio, Fintiba, or Deutsche Bank. Send €11,904 (~₹11 lakhs at projected ₹95-100/EUR by 2027). Allow 2 weeks for setup + bank statement issuance.

For full visa walkthrough, see our Schengen student visa 2026 guide for Indian students.

Months 7-8 (Jul-Aug 2027): Accommodation + Flight + Last-Minute Prep

Accommodation strategy

By July, your visa should be approved (typically 3-6 weeks after appointment). Now book accommodation:

Germany:

  • Studierendenwerk (student housing) — apply 6 months in advance, get spot ~50% of time
  • WG-Gesucht.de for WG (shared apartments) — search in July for September move-in
  • ImmoScout24 for solo apartments — expensive, 5-15 viewings needed

Other countries: similar — university housing office first, then private market.

Average accommodation finding time: 2-6 weeks of active search. Many Kadamb students book temporary Airbnb for first 2 weeks then move into permanent.

Flight booking (August 2027)

Book India-Europe flight 3-4 weeks before departure for best balance of price and date flexibility. Typical fares:

  • Delhi/Mumbai → Frankfurt: ₹65,000-₹85,000 (Lufthansa direct)
  • Bangalore/Hyderabad → Munich: ₹70,000-₹95,000
  • Stopover via Doha/Istanbul: ₹15-25K cheaper

Last-minute checklist (1 week before flight)

1. International driving permit (IDP) from RTO — ₹1,000

2. Doctor’s prescription for any medications (3 months supply)

3. Bank’s international debit card activated

4. Wise (TransferWise) account set up with €1,000-€2,000 loaded

5. Power adapters (Type C/F European plugs) — buy 3

6. Indian groceries (5 kg rice, masala, ghee) — Lufthansa allows 30 kg checked

7. Two-pin charger for laptop and phone

8. Emergency cash (€500-€1,000 in EUR notes)

Frequently Asked Questions

### Q1: When should I start preparing for September 2027 European Master’s intake?

If you are reading this in mid-2026, start immediately — you have 16 months which is the comfortable runway. Ideally start 18 months before intake (July 2025 for September 2027). The bare minimum is 9-10 months if you skip Tier-1 universities like ETH Zurich, TU Munich early deadline rounds, and Erasmus Mundus EMJM scholarships.

### Q2: What is the deadline for German universities for September 2027 intake?

German university deadlines for September 2027 (Winter Semester 2027-28) range from 1 March 2027 (RWTH Aachen) to 15 July 2027 (TU Darmstadt). TU Munich CS has an early round on 31 May 2027 and late round 31 August 2027. uni-assist requires VPD (preliminary documentation review) which adds 3 weeks — apply via uni-assist by 1 April 2027 at the latest.

### Q3: What is the absolute earliest deadline I should not miss?

ETH Zurich and EPFL Lausanne in Switzerland have a **15 December 2026 deadline** for September 2027 intake — this is the earliest hard deadline in the European calendar. Miss this and you cannot apply for the autumn 2027 intake at these top schools. Erasmus Mundus EMJM also closes mid-January 2027.

### Q4: Do I need IELTS for European Master’s in 2027?

Yes, for almost all English-taught Master programs. Minimum scores: Germany IELTS 6.5 (6.0 each band), Switzerland 7.0 (6.5 each), France 6.5-7.0, Italy 6.5, Netherlands 6.5 (6.0 each), Belgium 6.5, Austria 6.5, Poland 6.0. TOEFL iBT equivalent works for most. Some German unis accept Duolingo English Test (110+).

### Q5: When should I take IELTS for September 2027 intake?

Book IELTS for late November or early December 2025. This gives you 8 weeks of prep, results in 13 days, and buffer to retake in early February 2026 if score is below target. Earliest applications (ETH Zurich) need IELTS scorecards in by November 2026 — so December 2025 IELTS is the latest realistic first attempt.

### Q6: What documents do I need to apostille for Germany student visa?

For German student visa: BTech degree certificate, all semester mark sheets, consolidated mark sheet, migration certificate, birth certificate, Class 10 + Class 12 board mark sheets — all apostilled by MEA New Delhi and then sworn-translated to German in Germany. Total process takes 6-8 weeks. See our [Apostille Indian transcripts for Europe guide](https://kadamboverseas.com/apostille-indian-transcripts-europe-2026/).

### Q7: When does DAAD scholarship application close for September 2027 intake?

DAAD EPOS Master scholarship typically closes **mid-October 2026** for September 2027 intake. Begin scholarship essay drafts in March 2026 to allow 6 months of refinement plus 8 weeks of reference letter coordination. DAAD Helmut-Schmidt-Programme has 31 July 2026 deadline.

### Q8: How long does Schengen student visa processing take?

Typical Schengen student visa: 4-6 weeks from VFS appointment to passport return at Indian VFS centers. May-July is peak season — book your appointment in April 2027 for May/June slots. Germany sometimes takes 6-10 weeks during peak. Allow 8 weeks buffer between expected visa receipt and your flight date.

### Q9: When should I open my Sperrkonto for September 2027 intake?

Open Sperrkonto at Coracle/Expatrio/Fintiba/Deutsche Bank in **April 2027** for September intake. Sperrkonto setup takes 7-10 days, then you wire €11,904 (~₹11 lakhs) which clears in 3-5 business days. Bank issues the certificate within 24 hours of money landing — submit this at visa application by May 2027.

### Q10: Can I apply to multiple European universities in different countries?

Absolutely yes — most Kadamb students apply to 8-12 universities across 3-4 countries (e.g., Germany + Netherlands + Italy). Each application is independent. The Apostille set is one-time cost (~₹50K), IELTS/GRE scores are sent at $20-25/uni. No restriction on parallel applications.

### Q11: What if I don’t get into my top 3 universities?

Maintain a 3-tier strategy: 3 “reach” unis (ETH, TU Munich, Bocconi), 4 “match” unis (RWTH, KU Leuven, TU Delft, Sapienza), 3 “safety” unis (KIT, JKU Linz, University of Warsaw). With 8-12 applications, getting at least 4-5 offers is realistic for tier-1 Indian college students with 8.0+ CGPA. If all reject — January 2028 winter intake offers a 4-month delay, not a year.

### Q12: When does my visa start date need to be?

For September 2027 intake, your visa start date should be 2-4 weeks before the semester starts. If your university orientation is 20 September 2027, request visa validity from 1 September 2027. Apply for visa by mid-May 2027 to get the start date you want.

### Q13: How does Kadamb Overseas help with the 18-month timeline?

We provide a personalised milestone calendar via Google Sheets, monthly check-in calls, university shortlist refinement, SOP/LOR review, scholarship application support, Apostille coordination through our vetted agency, Sperrkonto bank intro, visa documentation prep, and accommodation guidance — for September 2027 intake students who sign up by August 2026. WhatsApp +91 96876 88776 to schedule a free planning call.

### Q14: What’s the biggest mistake Indian students make with European Master’s applications?

Three top mistakes: (1) starting SOP work in October when ETH/EPFL deadlines are mid-December — start in June, (2) thinking Apostille is a 2-day task when it takes 6-8 weeks, (3) booking visa appointment in June when slots have filled since April. The single biggest timeline-killer is underestimating Apostille and DAAD parallel processing.

### Q15: Can I do September 2027 intake if I start in March 2027?

Realistically, no for Tier-1 universities — ETH (Dec 2026), TU Munich early round (May 2027), Erasmus Mundus (Jan 2027) are gone. You could target: Tier-2 German unis with July deadlines (KIT, TU Darmstadt, TU Stuttgart), Polish universities (Warsaw 15 Jul, AGH 15 Aug), Austrian unis (5 Sep deadline), Belgium ULB Brussels (30 Apr). With March start, plan tighter: skip GRE, accept first acceptance offer, fast-track everything.

### Q16: How important is the order in which I apply?

Critical. Apply to early-deadline schools (ETH Zurich 15 Dec) FIRST, then mid-deadline (TU Delft 1 May, RWTH 1 Mar), then late-deadline (Poland Aug). Submitting ETH application by 1 December gives you 2 weeks buffer; submitting by 14 December at 11pm CET is risky if portal glitches.

### Q17: What if I want to apply for January 2028 winter intake instead?

January intake (Wintersemester 2027-28 second half OR Sommersemester 2028) is offered by ~30% of European universities. Programs available: Sommersemester at TU Munich, RWTH, TU Berlin, KIT (limited intakes), various Netherlands/Belgium Master starts in February. Deadlines: typically 15 Jul-30 Sep 2027 for January 2028 intake. Same timeline format applies, just shifted 4 months later.

### Q18: How should I prioritise between scholarship applications and university applications?

Run them in parallel. Scholarship-first strategy: apply to Erasmus Mundus EMJM by 15 Jan 2027 — if accepted, EMJM tells you which university you go to (Joint Master across 2-3 unis), then you just file visa. Otherwise, apply to 8-12 universities directly in Oct 2026 – Mar 2027 and scholarships separately to DAAD (Oct 2026), Charpak (Mar 2027), Eiffel (Jan 2027). Don’t put all eggs in one basket.

### Q19: When should I start saving / arranging family finances for September 2027?

Start in **July 2025** — 24 months before intake. Most German MS programs need ₹35-40 L total (Sperrkonto + 2 years living + setup). Mobilising this requires: 6-12 months to liquidate any non-liquid assets (insurance maturity, jewellery sale), 2-3 months for education loan sanction (3-4 weeks SBI valuation), 2-3 weeks Sperrkonto setup. By March 2027, you need ₹11 L liquid for Sperrkonto + ₹4-5 L for first 4 months living buffer.

### Q20: Will Kadamb Overseas help me with the entire 18-month journey?

Yes. Our standard package for September 2027 intake includes: 12 monthly counselling calls, university shortlist + admit strategy, SOP/LOR/Resume review (3 rounds), Apostille agency coordination, education loan partner intro (SBI/HDFC Credila/Avanse), scholarship application coaching, visa appointment booking + documentation, accommodation contact list for your university city, pre-departure briefing, and post-arrival WhatsApp support for first 60 days. Sign-up window: July 2025 – August 2026. WhatsApp **+91 96876 88776** or visit [our contact page](https://kadamboverseas.com/contact/).

Ready to Start Your September 2027 Journey?

The students who land in Berlin, Munich, Paris, Milan, Amsterdam, Vienna, Brussels, and Warsaw in September 2027 will overwhelmingly be the ones who started their planning in July-September 2025 or earlier. The rest will scramble in March-April 2027 and end up at second-choice universities or pushed to January 2028 intake.
