Why an 18-Month Runway Matters
Every year at Kadamb Overseas, we receive panicked WhatsApp messages from Ahmedabad, Mumbai, Pune, Delhi, Bangalore, Chennai, Hyderabad, Kolkata, and Jaipur parents in March-April. The conversation goes: “My son wants to apply for September intake. Is it too late?”
For September 2027, if you are reading this in May 2026, you have 16 months — plenty of time. If you read this in March 2027, you have 6 months — technically possible but you will miss Tier-1 unis. If you read this in July 2027, the answer is honest: target January 2028 winter intake or September 2028 instead.

“I want to do MS Computer Science in Europe and work as a Software Engineer for 5 years before deciding on PR vs return to India” — this kind of clarity drives every later decision.
Week 5-8: Filter countries

IELTS / TOEFL booking strategy
Book your IELTS or TOEFL exam for late November or early December 2025. This gives you:
- 8 weeks of focused prep
- Results in 13 days (IELTS) or 6-10 days (TOEFL)
- Buffer to retake in early February 2026 if score is below target
Target scores by country:
- Germany: IELTS 6.5 overall (6.0 each band) or TOEFL iBT 90
- Switzerland (ETH/EPFL): IELTS 7.0 (6.5 each) or TOEFL 100
- France (Grandes Écoles): IELTS 6.5-7.0 or TOEFL 90-100
- Italy (PoliMi, Bocconi): IELTS 6.5 or TOEFL 90
- Netherlands (TU Delft, Eindhoven): IELTS 6.5 (6.0 each)

GRE decision
GRE is optional or not required at most German, Italian, French, Belgian, Polish public universities. GRE is recommended/required at:

- TU Munich (CS Master is competitive — GRE 320+ helpful)
- Bocconi MIM
- Some Imperial College London programs (UK)
If targeting top-5 Germany CS Master OR top US PhD pathway later, take GRE in November 2025.
TOEFL/IELTS official score sending
Send scores directly to universities you have shortlisted. ETS and IDP charge $20-25 per institution. Budget ₹15-25K for score sending across 8-12 universities.
Months 11-10 (Jan-Feb 2026): Document Apostille + LORs

Use agencies like Superb Enterprises, BLS, VFS Global, or Apostille India for ₹40-50K end-to-end service. Self-doing saves ₹20K but takes 6+ extra weeks.
Letters of Recommendation (LORs)
Approach 3 academic professors (your BTech department head, project guide, and one subject professor) by end of January 2026. Politely request academic LORs by end of February 2026.

- Specific universities/programs you are applying to

CGPA to ECTS / German GPA conversion
Most European unis want CGPA on a 4.0 or German 1.0-5.0 scale. See our CGPA to ECTS conversion guide. Some unis demand official transcripts on their letterhead with ECTS grading — your Indian uni may charge ₹500-1000 for this conversion document.
Months 9-7 (Mar-May 2026): Early Scholarship Applications
DAAD Scholarships (Deutsche Akademische Austauschdienst)
- DAAD EPOS Master scholarship: deadline mid-October 2026 for September 2027 intake
- DAAD Helmut-Schmidt-Programme: deadline 31 July 2026 for September 2027
- DAAD WISE summer research: deadline 31 October 2025
DAAD applications take 8-10 weeks to prepare (essays, recommendations, language proof). Start in March 2026 even if final submission is October.
Erasmus Mundus Joint Master (EMJM)

Charpak Scholarship (France)
Charpak Master scholarship application opens February 2027, deadline 15 March 2027. €700/month + visa + travel. Apply via Campus France India.

Months 6-4 (Jun-Aug 2026): SOP + Letter of Motivation
Statement of Purpose drafting
This is the most labour-intensive part of the application. Allow 8-10 weeks for 3-5 strong SOPs (one per major university, lightly customised per program).
A typical SOP structure:
1. Opening hook — defining moment that pulled you to your field (1 paragraph)
2. Academic foundation — BTech/BE achievements with concrete numbers (2 paragraphs)
3. Practical experience — internships, projects, publications, hackathons (2 paragraphs)
4. Why this specific program — name the professors you want to work with, specific labs (1 paragraph)
5. Why this university + city — research strengths, alumni network (1 paragraph)
6. Career goals 5-year — specific role at specific industry (1 paragraph)
7. Closing — concise restatement of fit (1 paragraph)
Word count: 800-1,200 for German unis, 600-900 for French Grandes Écoles, 500-800 for Dutch unis. See our detailed SOP for German university guide.
Letter of Motivation (for Erasmus Mundus etc.)
Different from SOP — more personal, “why I want to live in Europe” framing alongside academic intent. See our Letter of Motivation Erasmus Mundus template.
CV / Resume Europass
European unis prefer Europass format CV (downloadable from europa.eu). Single column, traditional, 1-2 pages. Includes:
- Personal info (no photo for Germany/Netherlands; photo OK for France/Italy/Spain)
- Education in reverse chronological
- Work experience (including academic projects)
- Skills (technical + languages)
- Publications + hackathon wins + leadership
Months 3-1 in Year 1 (Oct-Dec 2026): Tier-1 University Applications
Germany — uni-assist + direct portals
Most German universities use uni-assist centralised system (free for first 5-7 applications based on uni). Deadlines:
- Winter semester intake (Oct 2027): 15 July 2026 for some unis, 31 May 2026 for international students at some
- For Sep 2027 (winter semester start): most deadlines are 15 January 2027 OR 15 July 2026 depending on uni
Wait — for September 2027 intake specifically, the WS 2027-28 deadlines apply. Different unis have different deadlines:
- TU Munich CS: 31 May 2027 (early) or 31 Aug 2027 (late)
- RWTH Aachen Informatics: 1 March 2027
- TU Berlin Computer Science: 30 April 2027
- KIT Karlsruhe: 30 June 2027
- TU Darmstadt: 15 July 2027
Critical insight: For Germany, apply between November 2026 and February 2027 to comfortably meet the strict 1 March – 15 July windows. Build 3-week buffer for uni-assist VPD (preliminary documentation review).
France — Campus France “Études en France” portal
Mandatory for non-EU students applying to French universities. Deadlines:
- Bachelor + Master in public unis: 15 December 2026 – 1 March 2027 (varies by uni, most are 15 March 2027 hard deadline)
- Grandes Écoles (HEC, ESSEC, ESCP, EM Lyon): rolling admissions starting October 2026, final round May 2027
Italy — Universitaly portal + direct university
Italian application calendar:
- Pre-enrolment via Universitaly: opens January 2027, deadline 20-30 June 2027 typically
- Some unis (Bocconi, PoliMi, Sapienza) have separate platforms with rolling rounds Oct 2026 – May 2027
Netherlands — Studielink portal
- Studielink applications open 1 October 2026 for September 2027 intake
- Deadline for non-EU students: 1 May 2027 (universities of research) or 1 May 2027 (TU Delft has 1 Feb 2027 deadline for some Master programs)
Switzerland — direct university applications
- ETH Zurich Master deadline: 15 December 2026 for September 2027 intake (very strict!)
- EPFL Lausanne Master deadline: 15 December 2026 for autumn 2027
- St Gallen MBA: rolling

Belgium — direct + Mobi-Vlaanderen
- KU Leuven: 1 March 2027 for non-EU (some courses 1 Feb)
- UCL/UGent: 1 April 2027
Austria — direct university + Studienberechtigung
- TU Wien: 5 September 2027 (yes, after intake start — very late deadline!) but apply by 1 March 2027 for guaranteed visa time
- Vienna University: 5 September 2027
Poland — direct university
- University of Warsaw: 15 July 2027
- AGH Krakow: 15 August 2027
Months 1-3 in Year 2 (Jan-Mar 2027): Backup Applications + Offers
Tier-2 + safety school applications
If your Tier-1 applications (TU Munich, ETH, HEC) are submitted by January, use January-March 2027 to apply to:
- 3-4 Tier-2 universities (RWTH Aachen, TU Berlin, KU Leuven, Politecnico Milano)
- 2-3 safety universities (KIT, University of Stuttgart, JKU Linz)
Total target: 8-12 university applications. Aim for at least 4-5 final offers.
First acceptances start arriving
- ETH Zurich: decisions in March 2027
- TU Munich: April-May 2027
- Erasmus Mundus EMJM: March-April 2027
- French Grandes Écoles: rolling, latest May 2027
When first offers arrive, do not accept immediately. Wait until at least 70% of applications return results (typically by mid-May).

Months 4-6 (Apr-Jun 2027): Acceptance + Visa Documentation
Accept your preferred offer (April-May 2027)
Pay enrolment deposit (usually €200-€2,000 depending on uni, sometimes adjusted against tuition). Receive official “Letter of Admission” — this is the most important document for visa.
Reject other offers politely. Some universities (Switzerland) have a 2-week deadline to accept; others (Germany) allow until July-August.
Sperrkonto opening (Germany only) — April 2027
Open blocked account at Coracle, Expatrio, Fintiba, or Deutsche Bank. Send €11,904 (~₹11 lakhs at projected ₹95-100/EUR by 2027). Allow 2 weeks for setup + bank statement issuance.
Health insurance pre-arrangement
- Germany: TK, AOK, Barmer, or DAK statutory at €120/mo. Some require pre-departure email registration.
- France: La mutuelle des étudiants OR LMDE OR a private provider
- Italy: INPS state insurance + private top-up
- Netherlands: Aon Student insurance (mandatory for international students at most unis)
- Belgium: Mutuelle private from €25/mo
- Switzerland: SWICA/Helsana mandatory CHF 300/mo
- Austria: ÖGK at €70-90/mo
- Poland: NFZ ~₹2,400/year
Visa appointment booking
Book your Schengen student visa appointment in April 2027 for a slot in late May or June. Appointment slots fill up 4-6 weeks in advance during peak season (May-July).

Accommodation strategy
By July, your visa should be approved (typically 3-6 weeks after appointment). Now book accommodation:
Germany:
- Studierendenwerk (student housing) — apply 6 months in advance, get spot ~50% of time
- WG-Gesucht.de for WG (shared apartments) — search in July for September move-in
- ImmoScout24 for solo apartments — expensive, 5-15 viewings needed
Other countries: similar — university housing office first, then private market.
Average accommodation finding time: 2-6 weeks of active search. Many Kadamb students book temporary Airbnb for first 2 weeks then move into permanent.
Flight booking (August 2027)
Book India-Europe flight 3-4 weeks before departure for best balance of price and date flexibility. Typical fares:
- Delhi/Mumbai → Frankfurt: ₹65,000-₹85,000 (Lufthansa direct)
- Bangalore/Hyderabad → Munich: ₹70,000-₹95,000
- Stopover via Doha/Istanbul: ₹15-25K cheaper
Last-minute checklist (1 week before flight)
